OPD Registration:

This module facilitates registering of demographic details of patients, as also patient type. Every patient registered in the system is allocated a unique patient id. No. A patient can register for seeing either one or more doctors from the department. Once a patient is registered, visit details can be retrieved during subsequent visits by either entering the Patients ID No. or by “search on name”.

This module provides for printing of OPD Case Paper for various OPD's, as also receipt for charges collected from the patient.

 

OPD Billing:

This module generates receipts / requisition slips for the various services (Laboratory / Imaging / Diagnostic procedures) the patients would avail in the hospital. The system maintains differential rates for various categories of patients.

This module can be implemented either as a centralized billing system for all OPD's & Investigation Departments, or as a distributed billing system at each of the heavy volume departments. This module provides for accurate & reliable user-wise cash receipts scroll, which leaves no room for any misappropriation or frauds at the various billing centres.

 

Casualty / Emergency Registration:

This module caters to registration of a patient who has been admitted to the Casualty / Emergency department. This is mandatory for patients who are admitted to the hospital outside normal OPD hours & need to be stabilized. Further, in cases of Medico-Legal nature, additional information about local police station, badge number of constable, etc. are captured.

 

OPD Consulting:

Doctors of various specialties can view their individual wait-list of patients and can see patients accordingly. This module allows the doctor to view details of past encounters of repeat patients as also capture details such as chief complaints, past history, physical examination, family & social history; investigations ordered, medication prescribed, provisional diagnosis, diet recommendations of a new patient, during a patient encounter.

 

Pathology Laboratory Reporting:

This module generates investigation reports for various investigations carried out at various sections in the Pathology Department. The reports could be user defined as per the needs of the reporting pathologist.

Further, normal ranges for age / sex / method of use can be defined and reports can highlight abnormalities, if any. All Microsoft Word Formatting features such as Bold, Italic, and Underline, color, highlight, etc. are supported.

Checks are built into the system to ensure that no reports are generated without a valid payment authorization.

 

Radiology Reporting:

This module is similar to the Pathology Reporting module. This module maintains standard normal and abnormal reports for all the various radiological tests. These are then modified according to the patient’s specific findings.

The number and size of films used per patient are also captured; the films utilization report can thus be correlated with the service statistics.

 

Cath Lab Reporting:

This module generates specialized reports for the Angioplasty & Angiography Procedures that are carried out in the Cardiac Catheter Lab.

 

Indoor Patients Registration:

This module registers details of patients who have to be admitted for undergoing indoor treatment under a specific doctor. The demographical details, patient type, etc of patients are captured in this module. On registration, an Indoor Case Paper will be generated for the patient.

 

Admission Discharge and Transfer:

After a patient is admitted to a particular ward / ICU bed, depending on the patient’s condition, the patients are either transferred from a ward to ICU or vice-versa. The bed availability at the receiving ward / ICU is monitored through the ADT module. A single bed could be blocked for housekeeping after physical discharge of a patient or a complete ward could be blocked for renovation purposes using this module, thus showing an accurate position of bed availability at all times. Additionally, if a person wants to move from a lower class to a higher class, at hospitals where a retrospective billing rule is in vogue, our system calculates the bill for services rendered up to date at the higher class and displays the same.

 

Indoor Patients Billing:

Details of various services rendered to a patient right from Admission to Discharge are captured at various service providers / departments / wards within the hospital. This module facilitates printing of interim memos, which are basically memos for topping up deposits. Details of services rendered and charges thereof up to date & details of payments made can be viewed through the facility of Draft Bills.

 

Bed Reservation & Appointments Scheduling:

Details of vacant beds availability could be viewed by Ward or Class. Additionally, Beds / Wards could be classified as Isolation or Paediatric or Male or Female and accordingly a new patient could be assigned a bed. The system has inbuilt checks to ensure that a male patient will not be assigned to a female ward and vice-versa.

In the Appointments Scheduling module, appointments can be scheduled for various services / procedures / resources. The time slots for appointments could be varied according to specialties or according to individual doctor needs within a specialty.

 

Wards Management:

This module allows requisitions to be made for investigations as also for providing pharmacy supplies. Similarly all types of doctor visits, namely, routine, special, first day, first night, subsequent day, subsequent night and referral visits by specialists, which have differing rates are captured in this module. All these details are updated into the In-patient’s bill.

 

OT Management:

This module facilitates entering in details of the procedures carried out in the OT right from the time patient is wheeled in to wheeled out, details of attending doctors, anaesthetists, timings and facilities used as also list of materials used in the OT for a particular patient. Our system has a unique feature and provides for doctor-wise procedure-wise kits.

 

Enquiry Kiosk:

This module displays information that the hospital would like to disseminate to patients and relatives visiting the hospital. It could be information on doctors’ availability, their consulting timings, the various departments and facilities within the hospital, location of departments (either tabular or graphical as in a location map), etc.

The hospital could display information about relevant local issues (e.g. Pulse polio immunization) or other schemes / educational seminars that the hospital has to offer.

More importantly, relatives could find current location information about patients, using a simple search; similarly company representatives or attending doctors could find the current location of their respective patients across the hospital.

The content that could be displayed is limited only by the imagination of the hospital operational staff.

 
Doctor’s Honorarium:

This module calculates the doctor’s honorarium for both OPD as well as IPD services, based on pre-set formulae. The doctor honorarium could comprise doctor share of consultation fees, reporting, procedures and ward visits. The percentage sharing could vary depending on individual doctor, special OPD or general OPD, type of ward visit, etc.

 

Pharmacy:

The Pharmacy module records information right from Purchase Orders raised on suppliers to receipts of drugs from suppliers and issues of the various drugs & other items to both outdoor as well as indoor patients. This module displays both brand names as well as generic names of drugs.

 

Blood Bank:

This module maintains details of donors as also the various sources e.g. Voluntary, camp or replacement donors. A unique blood bag number is assigned to each unit of blood collected. Before issuing the blood to patients, the Blood Group Test, Serological Test and Compatibility Test are conducted on the blood samples and results are noted. Statutory reports for Municipal Corporation as per FDA norms are generated.

 

Kitchen / Diet:

This module helps in the preparation and supply of food based on the diet type and characteristics of each patient admitted to the hospital. For each meal, ward-wise requirement of food is identified. Based on differing patient's diet type, the system generates the cook sheet. The system also provides ward-wise distribution sheet and bed-wise distribution sheet to facilitate logistics.

Additionally, the dietician can prescribe a diet advice to the patients from the system.

Besides patients’ diet, the system also takes into consideration the food requirements of doctors and nursing staff.

 

Linen / Laundry:

The Laundry department collects reusable patient clothes from various departments. After washing and sterilization, the clean clothes are dispatched to the OT, Cath Lab, Wards or departments, as per their needs. This module is designed to keep track of the clothes collected and returned by Laundry department.

 

Purchase / Stores / Inventory:

This module caters to the management of the various Stores (General, Medical, Electrical and Equipment Stores) either capital or consumable, in any hospital. The system generates the Purchase Orders, Material Receipt Notes, and Issue Slips for issuing materials to Departments or Patients and Transfer Slips for transferring to other Stock Locations. The system also handles receipts against Cash Memos and imports. Stocks on “Consignment basis” can also be tracked in the system. From this data, the system generates valuable department-wise consumption data for costing purposes.

 

CSSD:

This module tracks all issues of sterile equipment, instruments and consumables from the sterile stores to the various theatres and wards and receipts of unclean items back to the department.

 

Equipment Maintenance:

This system facilitates maintenance contracts with suppliers for providing services for maintaining the capital equipment, supplying of materials and carrying out labour jobs. The system has a provision of recording the registration and attendance of calls.

 

Asset Management:

This system enables users to maintain the details of assets within the organization. The details of purchases, transfers, additions and scrapping of assets can be maintained through the Asset Management System.

 

Payroll and Personnel:

This module captures information right from staff attendance; details of leave entitled and availed, and generates all the requisite details for Payroll. Optionally, we can integrate with an automated Time Attendance System. This module is integrated with the Accounting module so that all payments and deductions are automatically posted into the Accounts. Employee details from Payroll module is used in the OPD & Indoor modules to provide medical facility entitlements to employees and their dependants, if provided by the hospital.

 

Financial Accounting:

An integrated Financial Accounting module is provided in the system that caters to all the standard requirements of the Accounts function. Due to the integrated design, duplication of data capture is avoided and the probability of errors is greatly reduced.

 

Corporate Billing:

This module facilitates the hospital corporate billing department to follow-up with the institutions such as corporate companies, CGHS, patient employers, etc. where credit facility has been provided for hospital services.

 
Insurance Claims Processing:

In this module, the hospital can track the authorized limits from Insurance companies for treating their beneficiaries and provide alerts at pre-set values.

 

Costing & Taxation:

Valuable information can be mined from across the HMS to set up a costing system, which would then track the consumption patterns across the hospital and allow the hospital to price the hospital services more realistically.

 

MIS Reports:

21st Century HMS provides a number of useful MIS reports in addition to statutory reports. These reports could be sorted by shift, by date, by patient-id, by department, by ward, by doctor and so on. The periodicity of the reports could be daily, weekly, monthly, annually or “as and when required”. The reports could either be detailed, summary or exception based. For some reports, a graphical presentation is also provided.

Additionally, a powerful facility of creating user-defined reports is provided in the system. This would enable the hospital management to take ad-hoc reports, whenever desired, without resorting to any programming.

Moreover, audit reports could be generated on a periodic basis to ascertain audit trails and ratify changes made in the system masters.
